8 Details to Prepare Before Requesting a Transport Quote
The eight essential details you should share for a fast and accurate transport quote, plus the mistakes we see most often.
A good transport quote starts with good information. Quotes prepared on incomplete or approximate details change later, affecting both schedule and budget. With the eight items below at hand, the quoting process speeds up considerably.
1. Origin and destination addresses
A city name is not enough; the exact loading and delivery address, ramp or forklift availability and working hours directly shape the plan.
2. Type of cargo
Product group, dangerous goods class (if any), temperature needs and fragility determine vehicle and packaging.
3. Dimensions and weight
Number of pieces or pallets, length-width-height of each unit and total gross weight. For volumetric weight, dimensions matter as much as weight.
4. Packaging
Palletised, boxed or crated? Stackable? These two questions change vehicle utilisation and therefore the price.
5. Target date
Loading day and delivery expectation. A real date instead of “as soon as possible” allows the right transport model to be chosen.
6. Preferred mode
Road, sea, rail or a combined plan. If you have no preference, say so; we will present the options side by side.
7. Documents and customs
Who prepares export/import documents and which Incoterms apply clarifies responsibilities.
8. Special requirements
Insurance, special handling, delivery by appointment or tracking requests are built into the plan when shared at the start.
